This document covers Record Store Manager — the tool sellers use to list and sell music (digital downloads and physical audio/video) and merchandise through Splinge's Record Store, track inventory, and fulfil orders. 1. What Is Record Store Manager?

Record Store Manager is where sellers list products for sale on Splinge's Record Store: digital music downloads, physical audio/video releases (CDs, vinyl, DVDs, etc.), and merchandise. It also handles stock tracking, bulk CSV imports, ShipStation shipping integration, and access to your Stripe account.

2. Signing In & Access Requirements

There's no local login form — visiting rsm.splinge.com while signed out sends you to login.splinge.com and back once you've authenticated.

Once signed in, the app checks your seller record before letting you in any further:

• If you're not yet a confirmed seller, or your Stripe account isn't fully connected and enabled, you're redirected to seller.splinge.com to finish setup — see Splinge Seller — User Documentation.

• Record Store Manager is only open to sellers of type Band/Artist, Manager, Label, or Retail Seller. Venue and Promoter/Touring Co. sellers see an Access Denied screen instead — those seller types are for Box Office Manager only.

3. Getting Around

The left-hand navigation lists:

If a Master FLAC build is running (see §5.4), a chip appears in the top bar showing progress; click it to see per-job status, and you'll get a toast notification in the corner the moment each build finishes or fails — even if you've navigated away from the listing that started it.

Your avatar in the top-right opens a menu with your email, Edit Profile (takes you to profile.splinge.com), and Sign out.

4. Dashboard

The landing page shows:

• Sales summary — Gross Sales, Orders, and Average Order Value for a selected period (7 days, 30 days, 3 months, 1 year, or all time), plus a gross-sales-over-time area chart.

• Inventory cards — counts of your Bands, Digital Listings, and Physical Listings, plus a Stripe/Payments shortcut. Clicking Bands opens Band Manager (band.splinge.com) directly; the listings cards jump to the Listings page.

5. Listings

5.1 Listing Types & Wizard Steps

Click New Listing from any tab on the Listings page (Digital, Physical A/V, or Merch) to open the listing wizard — a multi-step dialog whose steps depend on the type:

The Listings page itself is three tabs (Digital / Physical A/V / Merch), each showing that type's listings as cards with cover image, band name, type/price/release-date chips, and an Active/Inactive toggle switch. Use Edit or Delete (with confirmation) on any card.

5.2 General Info

Common to every listing type:

For Physical A/V and Merch, a Shipping & Handling section is added:

• Use ShipStation toggle — when on, shipping cost is calculated by ShipStation instead of the fields below (requires ShipStation to be connected, §9).

• Domestic S&H / International S&H — flat shipping charges (disabled if ShipStation handles shipping).

• Domestic shipping only — hides international shipping entirely.

5.3 Audio File (Digital Only)

Upload one or more WAV, FLAC, or MP3 files. Each becomes at least one track:

• A FLAC with an embedded cue sheet is split into multiple tracks automatically.

• Any other file becomes a single track.

• WAV and MP3 are converted to FLAC in your browser before upload — no server round-trip needed for the conversion itself.

• Multiple files are processed one at a time (the in-browser encoder can't run more than one job at once), with live progress, upload speed, and ETA shown per file.

Continue to Track List once processing finishes.

5.4 Track List

Pre-populated from the Audio File step (Digital) or added manually (Physical A/V, which has no separate audio upload step — attach per-track audio files directly here via each track's own upload).

Per track: title, duration, reorder (up/down), remove, and a preview clip:

Master FLAC + Cue Sheet — once at least two tracks each have their own uploaded audio file, a Build master FLAC button appears. This combines them into a single lossless FLAC with an embedded cue sheet (for lossless download from the Record Store) as a background job: you can close the listing or navigate away entirely — the build keeps running, saves its result to the listing automatically, and notifies you in the top bar when done (see §3).

5.5 Personnel

Add producers, directors, engineers, and other contributors: name, bio/notes, and one or more roles. Quick-add chips are offered for common roles (Producer, Executive Producer, Director, Mixing Engineer, Mastering Engineer, Songwriter, Composer, Arranger, Photographer, Graphic Designer, A&R), or type a custom role. Removing an already-saved person soft-deletes them; a person added in this session and removed before saving is dropped entirely.

5.6 Cover Art / Product Images

• Digital / Physical A/V — a primary cover image plus any number of additional images (back cover, liner notes, band photos).

• Merch — product photos only, with the first uploaded photo marked Primary.

Both support drag-and-drop or browsing for a file, with upload progress and a remove button on each image.

5.7 Merchandise Options

Merch-only step for defining variants — sizes, colors, formats, etc. Quick-add chips exist for Size, Color, Material, Format; choosing Size or Color offers suggested values (XS–XXL; Black/White/Navy/Red/Grey/Green) as one-click adds, or type custom values for any option. Each combination of option values (e.g. Size: M × Color: Red) becomes a separate stock-tracked variant in §6.

5.8 Inventory Step

Available on Physical A/V and Merch listings. Toggle Track inventory for this listing — if enabled, choose what happens when stock hits zero:

• Show as sold out — buyers see the listing but can't add it to cart.

• Hide from store — the listing is deactivated automatically at zero stock.

Actual stock counts are set afterward on the Inventory page, not in this wizard.

5.9 Pricing Rules

Available on every listing type. The base price from General Info applies unless a rule matches — the lowest matching price always wins. Add any combination of:

5.10 Saving, Drafts & Activation

• Save (final step) persists the listing and closes the wizard.

• Save as Draft appears on Digital listings from the Track List step onward — it lets you close the wizard mid-way (e.g. while a master FLAC build finishes in the background) without losing progress. A listing that's never been saved before is saved inactive so it can't appear in the storefront half-finished; re-opening it later resumes editing.

• A listing's Active/Inactive toggle lives on the Listings page card, not in the wizard — new listings default to active once you complete Save (except drafts, which stay inactive until you flip the switch yourself).

6. Inventory

Shows stock levels for every Physical A/V and Merch listing with inventory tracking enabled, split into Tracked Listings and Not Tracked (a reminder to enable tracking in the listing form if you want to manage stock for those).

• Merch listings with variants (from §5.7) expand to show stock per variant combination.

• Stock quantity chips are color-coded: red at zero or below, amber at 5 or fewer, green otherwise.

• Adjust (tune icon) opens a dialog with two modes: Add Stock (always a positive addition, reason fixed to Restock) or Adjustment (positive or negative, reason Adjustment or Correction), both with an optional note.

• History (clock icon) shows every past adjustment for that listing/variant — date, quantity change, reason, and note.

7. Bands

Lets you attach listings to a band you control. Toggle between:

• My Bands — bands where you're the registered owner or manager.

• All Bands — every band on Splinge, with Owner, Manager, Orphan, or Has Manager status chips.

Orphan bands and manager-only bands show a Claim this band button: choose Owner or Manager, agree to the Band Manager Agreement, and confirm. Claiming here works exactly as in Band Manager, but this page doesn't offer any of Band Manager's editing tools (discography, gallery, members, posts) — click Open Band Manager to jump to band.splinge.com for that.

8. Bulk Loader

Imports many digital listings at once from a CSV file plus a media folder — Physical A/V and Merch aren't supported by bulk import.

1. Select folder — pick the folder containing your audio and cover art files (sub-folders included); files are matched by filename.

2. Select CSV file — header row required, columns: title, band, currency, price, releasedate, audio, coverart. band is the band's bandtag (with or without the @); audio and coverart are filenames/paths matched against the folder from step 1 (cover art is optional).

3. Review the preview table — rows with a missing title, unmatched bandtag, or missing audio file are flagged with issues and excluded from processing until fixed.

4. Click Process N listings. Each ready row is processed sequentially (audio converted to FLAC in-browser if needed, uploaded, and saved as an active digital listing) — sequential because the in-browser audio encoder can't run more than one job at a time.

Bulk-imported listings have no tracks or personnel yet — add those afterward by editing the listing in §5.

9. ShipStation

Connects your own ShipStation account so Physical A/V and Merch orders (with Use ShipStation enabled per-listing, §5.2) are pushed to ShipStation automatically after checkout.

1. Enter your API Key and API Secret from ShipStation under Account Settings → API Settings. Leave a field blank when re-saving to keep the existing value.

2. Test Connection to verify before saving.

3. Save — once credentials exist, the Enabled/Disabled toggle becomes available to turn order-pushing on or off without discarding your credentials.

4. Copy the webhook URL shown and register it in ShipStation under Account Settings → Webhooks → Add Webhook, event type Ship Notify. Once registered, marking an order shipped in ShipStation automatically updates the order's tracking number on Splinge and emails the buyer.

10. Stripe / Payments

Two ways to reach Stripe from inside Record Store Manager:

• Stripe / Payments in the side navigation opens your Stripe Express dashboard directly in a new tab.

• The Stripe / Payments card on the Dashboard (or navigating to it directly) opens an in-app page with two options: Open Dashboard (same as above) and Update Onboarding — for revisiting Stripe's verification steps if Stripe asks for more information later, or Complete Onboarding if it's somehow not finished (this shouldn't normally happen, since Stripe setup is required before Record Store Manager lets you in at all — see §2).

11. Known Limitations

• Bulk Loader only creates digital listings. Physical A/V and Merch products must be added individually through the listing wizard.

• The in-browser audio pipeline processes one file at a time — both the Audio File step and Bulk Loader convert/upload files sequentially, so large batches take proportionally longer. This is a constraint of the in-browser FLAC encoder, not a server limit.

• Bulk-imported listings skip tracks and personnel entirely — there's no way to supply them via CSV; add them by editing the listing afterward.

• The Bands page here is claim/browse only. All actual band-profile editing (discography, gallery, members, posts) happens in Band Manager, not here.

• Physical A/V listings have no dedicated audio-upload step — audio files are attached per-track directly in the Track List step, unlike Digital listings' separate Audio File step.

12. Tips & Troubleshooting

I keep getting redirected to seller.splinge.com

Record Store Manager requires an activated Seller role and a fully connected, verified Stripe account before letting you in. Finish whichever step Seller shows you, then return.

I see "Access Denied — your seller type does not have access"

Record Store Manager is limited to Band/Artist, Manager, Label, and Retail Seller accounts. Venue and Promoter/Touring Co. sellers should use Box Office Manager instead.

My master FLAC build seems to have vanished

It hasn't — builds run server-side and survive you closing the listing or navigating elsewhere. Check the build-status chip in the top bar; you'll also get a toast notification when it finishes or fails.

A bulk-loader row shows "issues" and won't process

Hover the issue count to see specifics — usually a missing title, a bandtag that doesn't match any band you own/manage, or an audio/cover file whose filename doesn't match anything in the selected folder.

ShipStation's "Enabled" toggle is greyed out

You need to save valid API credentials first — the toggle only becomes available once credentials are on file.

My physical/merch listing still shows manual shipping fields even though I want ShipStation to handle it

Turn on Use ShipStation in the listing's General Info step — this replaces the manual Domestic/International S&H fields, but only takes effect if ShipStation itself is connected and enabled (§9).
